These Terms and Conditions govern the use of Expedited.co.za and the services provided through the website.

Expedited.co.za is owned and operated by GetCleared, a business of Moto Digital Solutions (Pty) Ltd, Registration No. 2021/522062/07 ("Expedited", "we", "us" or "our").

By accessing this website, requesting a quotation, making payment or instructing us to provide a service, you agree to these Terms and Conditions.

 

1. Our Role

Expedited.co.za is a private document facilitation company.

We assist clients with the preparation, submission, collection, authentication, attestation and legalisation of documents through the relevant authorities and diplomatic missions.

We are not a government department and are not affiliated with SAPS, DIRCO, any embassy, high commission, consulate or other government authority.

We do not issue Police Clearance Certificates, Letters of No Impediment, DIRCO authentications or embassy attestations ourselves. These are issued, authenticated or processed by the relevant authorities.

Our role is to facilitate and manage the process on your behalf.

 

2. Our Services

Our services include:

  • Police Clearance Certificates;

  • DIRCO Authentications;

  • Letters of No Impediment;

  • Embassy & Consular Attestations; and

  • Related document processing, administrative and courier services.

The exact requirements, fees and estimated processing times will depend on the service requested and will be communicated to you before or during the commencement of the service.

 

3. No Guarantee of Government or Third-Party Decisions

Payment to Expedited is payment for our facilitation, administration and professional services.

It does not constitute payment for, or guarantee the approval or issue of, a document by a government department, embassy, consulate, high commission or other authority.

We cannot guarantee that an authority will:

  • approve an application;

  • issue a document;

  • authenticate or attest a document;

  • accept a document;

  • process an application within a specific timeframe; or

  • accept a document for your intended purpose.

 

Where an authority requests additional information, rejects an application or changes its requirements, we will advise you and assist where reasonably possible.

Additional work or third-party costs may apply where the circumstances require further processing.

 

4. Processing Times

Processing times provided by Expedited are estimates unless expressly confirmed otherwise in writing.

 

Processing may depend on SAPS, DIRCO, Home Affairs, embassies, consulates, high commissions, courts, courier companies and other third parties.

Processing may also be affected by:

  • public holidays;

  • government or diplomatic mission closures;

  • backlogs;

  • system outages;

  • verification requirements;

  • incorrect or incomplete documentation;

  • requests for additional information; and

  • circumstances beyond our reasonable control.

We are not responsible for consequences arising from delays outside our control, including missed travel, visa, employment, immigration or other deadlines.

 

5. Client Responsibilities

You agree to provide complete, accurate and truthful information and documentation.

You are responsible for:

  • providing all documents requested;

  • ensuring information supplied is accurate;

  • ensuring documents are genuine and legally obtained;

  • providing valid contact and delivery information;

  • informing us of any relevant deadline;

  • advising us of any special requirements imposed by the receiving authority; and

  • responding promptly to requests for additional information.

We are not responsible for delays or additional costs caused by inaccurate, incomplete, expired, damaged or incorrectly supplied documents.

 

6. Destination-Country Requirements

Document requirements vary between countries and authorities.

For international document use, DIRCO authentication may not always be the final requirement. Depending on the destination country, documents may also require apostille, embassy, high commission, consular or other legalisation.

Where a country is not party to the Hague Apostille Convention, additional legalisation may be required.

We will provide guidance based on the information available to us and the requirements applicable at the time of processing. However, the client remains responsible for confirming that the completed documents satisfy the requirements of the authority receiving them.

 

7. Fees and Payment

Our fees are communicated through a quotation, invoice or service confirmation.

Unless otherwise agreed in writing, payment is required before work begins.

Our quoted fee may include our facilitation fee and specified third-party costs. Where applicable, government fees, embassy fees, courier charges or other third-party costs may be charged separately.

 

If additional costs arise after work has commenced, we will notify you where reasonably practicable before incurring those costs.

 

8. Cancellation and Refunds

You may request cancellation of a service by contacting us in writing.

Because our services involve administrative work and may involve payments or submissions to third parties, the amount refundable will depend on the stage reached when cancellation occurs.

 

Where work has already commenced, fees relating to work performed and third-party costs already incurred may not be refundable.

Where a refund is approved, it will be processed within a reasonable period.

Nothing in these Terms is intended to exclude or limit any rights available to consumers under applicable South African law.

 

9. Documents and Original Materials

Where original documents are required, we will take reasonable care while they are in our possession.

 

Clients should retain copies of all documents submitted to us where possible.

We are not responsible for original documents that were never received by us or that are lost or damaged while being transported by an independent courier or other third party, subject to any rights the client may have against the relevant service provider.

 

10. Courier and Delivery

Courier services may be provided by independent third-party courier companies.

Delivery times are estimates and may be affected by the courier, incorrect address information, customs, weather, public holidays or other circumstances outside our control.

The client is responsible for providing an accurate delivery address and contact details.

 

11. Third-Party Authorities and Service Providers

Our services depend on third parties, including government departments, embassies, consulates, high commissions, courts, notaries and courier companies.

We do not control their:

  • processing times;

  • operating hours;

  • fees;

  • procedures;

  • document requirements; or

  • decisions.

Changes made by third parties may affect the cost, requirements or timeframe of your service.

 

12. Website Information

We make reasonable efforts to keep information on Expedited.co.za accurate and current.

However, government and diplomatic requirements can change without notice.

Information published on this website should not be regarded as legal advice or as a guarantee that a particular document will be accepted by a particular authority.

 

13. Limitation of Liability

To the extent permitted by law, Expedited will not be liable for indirect or consequential losses arising from government or third-party delays, refusals, changes in requirements, courier delays or other circumstances outside our reasonable control.

Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited under South African law.

 

14. Intellectual Property

All content on this website, including text, graphics, logos, photographs, designs and other materials, belongs to Moto Digital Solutions (Pty) Ltd, GetCleared or Expedited.co.za, or is used under licence.

Content may not be copied, reproduced, modified, distributed or commercially exploited without prior written permission.

 

15. Privacy

We collect and process personal information in accordance with our Privacy Policy and applicable data-protection legislation, including the Protection of Personal Information Act 4 of 2013 (POPIA).

Because our services involve sensitive documents, personal information may need to be shared with government departments, embassies, consulates, couriers and other service providers where reasonably necessary to complete your instruction.

 

16. Changes to These Terms

We may update these Terms and Conditions from time to time.

The latest version will be published on this website and will apply from the date of publication.

 

17. Governing Law

These Terms are governed by the laws of the Republic of South Africa.

Any dispute will be dealt with in accordance with applicable South African law and the jurisdiction of the appropriate South African courts.
